Passed by the European Union in April of 2016, the General Data Protection Regulation (GDPR) has a far-reaching global impact on data security. No matter where you are based, any organization within the EU must comply with the GDPR's expanded and more stringent data protection rules by 25 May 2018.
This means that we, as an Association need to have the explicit consent of every member to hold their personal data, even though that data will only consist of their name, service number, address (both postal and email) and telephone numbers. Not only do we need their consent to hold the data we also need their consent as to how we use it.
To this end all Branch Secretaries have been given a consent pro-forma which will need to be completed by every member to enable us to hold their contact details. Without this consent neither the Branch nor the wider Welsh Guards Association can hold your details and contact you. The Assistant Secretary General will work with the Welsh Guards Reunited Branch to develop an electronic method of capturing the same information.
This will be a huge piece of work to complete but we must do it to remain within the law. On the back of this exercise we shall be building a new Membership Database to support the Association. All Branch Secretaries are to forward their completed pro forma returns to the Assistant Secretary General.
The GDPR Consent proforma can be found here. Care must be taken to ensure that the correct boxes are ticked, acknowledging consent for the various options and that all detail is written clearly in ink. Completed forms should be submitted via Branch Secretaries.
